Data analytics for small businesses — where to start without a data team
Most South African small businesses are sitting on useful data and doing nothing with it. Not because the tools are expensive — many are free — but because nobody has shown them where to start. You do not need a data scientist. You need three dashboards and the discipline to look at them weekly.
1.Start with the data you already have
Your accounting software (Xero, Sage, QuickBooks) already knows your revenue, expenses, margins and cash position. Your CRM or sales spreadsheet knows your pipeline. Your POS or e-commerce platform knows what sells and what does not. The first step is not buying a tool — it is connecting the tools you already pay for.
2.The three dashboards every SME needs
Dashboard 1: Cash flow. Money in, money out, projected balance for the next 90 days. This is the dashboard that prevents surprises. Pull it from your accounting software.
Dashboard 2: Sales pipeline. Leads, conversion rate, average deal size, time to close. If you cannot see these numbers weekly, you are managing sales by instinct. Pull it from your CRM or build a simple one in a spreadsheet.
Dashboard 3: Customer acquisition cost. What you spend on marketing and sales divided by the number of new customers. If this number is higher than the first-year value of a customer, you are losing money on growth. Most SMEs have never calculated it.
3.Tools that work for SA SMEs
- Google Looker Studio (free): connects to Google Ads, Analytics, Sheets and most databases. Best for marketing dashboards.
- Microsoft Power BI (free desktop, R150/user/month for sharing): connects to Excel, SQL databases, Xero, Sage. Best for financial and operational dashboards.
- Metabase (open source, free self-hosted): for businesses with a developer who can set it up. Clean interface, good for internal teams.
- Your existing tools: Xero, Shopify, HubSpot and most modern SaaS platforms have built-in reporting. Use it before adding another tool.
4.The metrics that drive decisions
Revenue is a vanity metric without margin. Margin is incomplete without cash conversion. Customer count is meaningless without acquisition cost and lifetime value. Track the metrics that change what you do, not the ones that make you feel good.
A useful test: if this number changed by 20%, would you do something different? If not, stop tracking it.
5.Common mistakes
- Tracking everything: More dashboards is not more insight. Three dashboards reviewed weekly beat twenty dashboards reviewed never.
- Beautiful charts, ugly data: A dashboard built on incomplete or inconsistent data gives confident wrong answers. Clean your inputs first.
- No action loop: Data without a meeting where someone decides something is decoration. Tie each dashboard to a weekly or monthly review where a decision is made.
Getting started with data analytics:
The bottom line
Data analytics for a small business is not about big data or AI. It is about three dashboards, reviewed weekly, that tell you where the money is coming from, where it is going, and whether your growth is profitable. Start with what you have, connect it properly, and build the habit of looking.
